2. Your Contract With Us

2.1 When you place an order with us, you are making an offer to buy goods. We will send you an e-mail to confirm that we have received your order.

2.2 Once we have reviewed your order we will e-mail you again to confirm that we accept your order, and that a contract has been made between us.

2.3 In the unlikely event that the goods are no longer available, or that we have made a pricing mistake, we will advise you of this. You will not receive an e-mail confirming completion of your order, and there will be no contract between us.

2.4 Images of products on this website are for illustrative purposes only.

2.5 We have made every effort to display as accurately as possible the colours of our products that appear on this website. However, we cannot guarantee that your monitor's display of any colour will accurately reflect the colour of the actual goods.

2.6 Whilst we try to be as accurate as possible, all information provided is provided in good faith.

2.7 This contract is covered by English law and relevant European and International Law.

2.8 By placing an order with us, you agree to and accept these terms, as well as our privacy policy and the terms of website use.

3. How to place order

3.1 You can use our website to place an order by selecting the product you wish to buy and adding it to your basket. Items you do not require can be removed from your basket at any time.

3.2 Carriage charges will be shown prior to you placing your order.

3.3 You will be required to pay for the goods in full at the time of ordering.

3.4 We use secure payment facilities for online purchases. You can pay for your order by using Paypal. You can also pay with credit card or debit card on this website

3.5 Promotional prices only apply during the period stated.

3.6 All prices quoted on our website are in UK pounds and include Value Added Tax at the current rate.

3.7 Once your order has been confirmed, changes may not be possible or may incur additional charges or delays.

3.8 Once your order is complete we will notify you of the dispatch date.

3a. Competitions, Promotions and Voucher Codes

From time to time Phonostage Records will run promotions including temporary sales, offers or other such promotions. Any such promotions will show reference to these terms and conditions for further information and will display relevant information about the timescales or specific details of the promotion as needed. Any customer taking advantage of any of these offers or promotions need to make themselves aware of the following points.

  • Voucher codes will contain a unique number or code and can only be remitted once - any second attempt at using an already issued voucher code will be flagged up and any associated purchases or claims will be immediately invalidated
  • Voucher codes can only be submitted by the person to whom they were issued, no offers are transferrable to any other party unless specifically stated by Phonostage Records. 
  • There can be no negotiation as to how a code or offer is used, codes and offers can only be used in the way stipulated or agreed by Phonostage Records. For example, if a voucher promotion issues a code to be remitted against the sale of any vinyl record on 'our store', it is only to be used for a vinyl record and can only be used in our (Phonostage Records) store. 
  • Any offers will end either on the date stipulated in advertising materials, whether they be banners, social media posts, additions to the website, Google or similar ads or paper advertising. Phonostage Records also reserves the right to end any promotion early however will honour any orders made up to that point.
  • Only one offer can be used at any one time. No purchases can be made using a combination of offers/promotions/vouchers or similar unless stipulated otherwise in the wording of that particular offer. Customers may be asked to state which of any available offers they would prefer should any promotion potentially overlap with any other.
  • Any voucher codes issued are to be used within 6 months of issue unless specifically stated otherwise.

4. Delivery & Carriage Charges

4.1 Goods will normally be dispatched within 2 working days unless stated otherwise and any estimated dispatch date is a an estimate, which can change without notice.

4.2 Shipping costs are as follows unless specified otherwise:

Order up to a value of £50 are charged at £4.50 per order for UK Mainland Shipping (See Point 4.15 for more specific information about locations)

Order over £50 are free UK mainland deliver - again see point 4.15 for more specific information about locations and exceptions.

4.3 We can deliver HiFi equipment orders anywhere in mainland Great Britain. Our vinyl record sales are UK only when sold on this website. We are able to ship internationally from our other platforms, please contact us for details.

4.4 We will deliver the goods to the premises you specify on your order. You must be at home to accept delivery of your order, which is normally between 9:00am and 6:00pm Monday-Friday.

We will not accept responsibility for loss or damage if you instruct the delivery company to leave the goods unattended.

4.5 Disposal of packing materials is your responsibility however you are advised to keep your packaging for the return period in order to satisfactorily uphold the terms of the returns policy which states that items are to be returned unopened in their original packaging or charges and deductions may apply.

4.6 If there is no one to accept the order on the scheduled delivery date the goods may be returned to the sender and we reserve the right to charge you an additional re-delivery charge.

4.9 If you change the delivery address once the goods have been dispatched to you, we reserve the right to pass on any extra charges made by our carriers for redirecting your delivery.

4.10 Please check the goods on delivery - any goods found to be missing or damaged should be notified to the delivery driver at the time of delivery or ourselves within a reasonable time.

4.11 If the goods are lost or damaged in transit, please let us know promptly.

4.12 You should tell us about any special delivery requirements or conditions when you place your order.

4.13 Sometimes, for reasons beyond our control we may be prevented from delivering your goods as planned. These might include things such as accidents, breakdowns, fire, flood, storm, severe weather, acts of god, war, riot, civil commotion, malicious damage or the default of our suppliers. We will try to put things right as soon as possible however we can’t be responsible where this causes a delay or failure in delivering your goods.

4.14 Time is not the essence of the contract unless expressly stated otherwise.

4.15 Important Notice about Delivery Locations:

Phonostage Records is unable to deliver to BFPO addresses. When ordering, please ensure you put a company name where applicable. The courier company goes on company names more than building numbers, especially if you are located in a building with lots of companies. Free delivery only applies to UK Mainland (excludes Channel Islands, Northern Ireland, Isle of Man, Isle of Wight, Isle of Scilly and Scottish Islands and Highlands). Channel Islands, Northern Ireland, Isle of Man, Isle of Wight, Isle of Scilly and Scottish Islands and Highlands carry a surcharge on the courier service. Please contact us by email at Contact Us for an up to date estimate of such a surcharge based on your location. We will then come back to you with a postal cost as soon as possible.

5. Cancellation and returns

5.1 This policy does not apply to goods ordered by businesses which are exempt form the Distance Selling Regulations, or the following goods which are exempt from the right to cancel.

5.2 You can cancel your contract if you wish prior to your order being delivered to you however you may incur charges if you change your mind about your order and time has been spent in the bespoke editing and creation of your product - any such charges will be notified to you at the time of your notification to us. This is because you are paying for a service as well as a finished product. To advise us of cancellation, please e-mail us. We are unable to accept cancellations by phone.

Returns for stock products (not bespoke products) are subject to our 30 day returns policy and the following conditions apply:

You must notify or your intention to return within 30 days of your purchase

You must return the goods at your expense to the business registered address (as seen on your invoice) with appropriate insurance cover

If this is a non-fault return and is a case of buyer remorse or if you just don’t like the product and the product has been used/tested then a sliding scale of possible deductions to the return amount can be applied by us in line with this policy..

0% Deduction for unopened returned items

10% Deduction for opened items - repacked in perfect condition

10-20% Deduction for tried/tested/demo items that are being returned after installation

The following goods are non returnable once opened: sealed media (unless faulty), cleaning fluids, general consumables (spray cans, cleaners, stylus care products), phono cartridges and earphones, unless damaged on delivery. Unwanted goods from international customers must be sent back at the customers expense without exception and in addition, you must declare the item as faulty product return (we will specify details to include on the box when we make the arrangements with you - any items returned without prior arrangement will be refused).

Phonostage Records wishes to uphold fair terms for returns and any of the above can be negotiated and are depended on individual circumstances and are to be used as a guide however Phonostage Records is neither a ‘loaner’ scheme nor a provider of review samples to anyone seeking to benefit commercially or socially from our services.

5.3 You do not have to give any reason for cancellation of orders. However, a brief explanation will help us to improve the service we offer to customers in the future.

5.4 We will refund all monies paid to us by you including any postage / carriage within 30 days, less any costs due under this contract except for any monies deducted from this that are calculated as per the terms written in 5.2 - these deductions will be calculated at at costs shown.

5.5 Business customers, or customers exempt from the distance selling regulations may not cancel an order without our mutual agreement.

This cancellation policy does not affect your legal rights - for example, if goods are faulty or mis described.

6. Faulty Goods / Guarantee

6.1 If there is a problem with the goods, please notify us by email or in writing providing details of the problem. Its helpful if you can provide us with a digital photograph of the problem as this normally saves you having to return the goods for inspection. We will deal with the matter in accordance with your legal rights.

6.2 All new goods are covered by a manufacturer’s warranty against faulty workmanship and materials, subject to the terms and conditions of that warranty.

6.3 The manufacturer’s warranty is provided in addition to the rights that the law says you have as a consumer and accordingly, your statutory rights are not affected.

6.4 If an exchange is necessary, this will be arranged without unreasonable delay and without charge. Replacement goods will not be dispatched until the original goods have been received at our warehouse and checked.

6.5 The cost of returning goods to us is your responsibility, however on inspection we will refund your reasonable postage costs, providing that the goods are found to be faulty. If the goods are not faulty, we will return them to you, however you will be required to cover our reasonable postage costs.

6.6 Within this time scale we will replace defective goods free of charge, at our discretion, providing that you have returned to us any faulty goods upon request.

6.7 If an item is no longer available we will offer an alternative. However our liability will be to replace the faulty goods only and we are unable to guarantee an exact match. In this instance you will have the option of a refund.

6.8 Where we replace faulty goods you are responsible for their disposal if they have not previously been returned to us.

7. Liability

7.1 The products sold on this website have been designed to comply with all relevant UK legislation. We cannot warrant or represent that they comply with any legal requirement outside the uk.

8. Trade or Business Customers

The following conditions apply to orders placed by Trade or Business Customers.

8.1 Orders may not be cancelled except with our mutual agreement and having been confirmed in writing to the business owner. We reserve the right to make cancellation and/or re-stocking charges.

8.2 Claims for missing or damaged items must be made within 2 days of delivery.
